I am wondering what the protocol people are using when editing the user keynote text file. the problem we have run into is that two people can be in the text file at the same time therefore one of them will not be able to have their edit become relevant. so in our off ice we have been sending emails to those who are working on the project letting them know that I am getting into the text file and if someone is already init to reply to the email. we will follow that up with another email when we are done making our edits to let everyone know that I am out of the text file.

I am wondering if there is another way to prevent two or more people from making edits at the same time and only one of those edits showing up?

We've been using the Keynote manager from Revolution Designs. It'll cost you something but it's well worth it.
The other thing we do is have 2 keepers of the file. If you need a keynote you send it to them. This helps eliminate duplicate keynotes, bad formatting, Similar keynote, and the old, Drywall, Gypsum Board, GWB, Wall Board...... generally these are all talking about the same thing, but only one of them appears in the spec.
You can also set up a generic starting point with all of the spec sections you might need so there's no mistakes there either.
It's a nice little tool.
Not trying to push it or plug it, just saying it's a good solution to the problem.
