Default existing keynote and new keynote as separate schedule

my office uses two different keynote tags, and oval for new, and a hexagon for existing.
Is there anyway to create two keynote legends based on the type of tag used, or schedule by phase?
In the keynote legend settings the only options shown are for "Key Value and Keynote Text" there is no option to sort by phase or tag. The keynote tag family also does not allow you to add additional shared parameters so you can't add anything to the keynote schedule...
Does anyone else do something similar in their office? How have you managed it?
Is there another way to do something similar, by using a generic annotation? Can you use a generic annotation and tie it to some sort of list? Note blocks perhaps (I'm not familiar with using those)?

I was looking for a workflow for this very topic. Wonder if anyone has a process to share.

I think you are able to do it with a note block, and a generic annotation tag. It works differently than keynoting, and I think your note block legend will show all the values associated with the generic annotation tag (you won't be able to filter by sheet like you can with keynotes). I was able to convince my firm to just use one keynote tag and use text to define it.
