Remodel tag and notes

We are attempting are first project in Revit. it is a small remodel of an office. My question is there a standard tag (with a number only) that will tag anything we point it to? such as ceiling, walls, doors, windows...etc. We need to create a ledgend that has this number and a description of the next to it. You know "REMODELING NOTES:" Is there out of the box way of doing this or do I need to set this up? If I have to set this up, I need step-by-step instructions. Any known tutorials out there.

On Revit city there are what they call Keynote Symbols. These are NOT the regular Revit Keynote system. You would place them by Drafting Symbol. We duplicate the family for each type of notes we wish to do, Demo Notes, Elevation Notes, Casework Notes. Then within those families we create a Type for ever note number/text. You then create a Note block, assigned to that familt. As you place the symbols, the list grows. The drawback is that you cannot "filter" this list by Sheet. Meaning if you have three Demo sheets, the Demo note block will list all of the symbols placed anywher is the set. That's why we duplicate the family for each "kind" of notes we'll create, even if it is the same shaped symbol.

If you use the same note symbol more than once it is populated multiple times in the note block. How do you avoid listing the same note if it is used multiple times? The "sorting/grouping" tab in the note block properties has a "itemize every instance" option but if it is unchecked no instances show.

If no instances show (when unchecked) you may have two different notes with the same number.
